Role Summary
York Montessori School is a well-established Montessori school dedicated to fostering a nurturing, child centered learning environment. We are seeking a highly organized and proactive Administrative Assistant to support our school and ensure smooth daily operations. This role is ideal for someone who thrives in an educational setting, has excellent communication skills, and is passionate about creating an efficient and welcoming school environment.

Key Responsibilities

1.) Communication & Parent Support

  • Manage incoming emails and respond to general parent inquiries
  • Handle enrollment applications, schedule tours, and process admissions paperwork
  • Communicate reminders, newsletters, and announcements to parents
  • Act as the first point of contact for non-urgent parent concerns

2.) Administrative & School Operations

  • Maintain student records, attendance logs, and staff schedules
  • Assist in coordinating school events, field trips, and parent-teacher conferences
  • Handle school supply orders and inventory
  • Ensure compliance with regulatory requirements and documentation

3.) Scheduling and Coordination

  • Schedule meetings and appointments as needed
  • Organize training sessions and professional development days
  • Oversee school calendar updates and internal scheduling

4.) Staff & Internal Support

  • Ensure smooth communication between different departments and staff members
  • Support administration with clerical tasks such as data entry and report preparation
  • Maintain organized digital and physical filing systems

Key Skills and Qualifications

  • Experience in an administrative role (preferably in a school or educational setting)
  • Strong organizational and multitasking skills – able to handle multiple priorities efficiently
  • Excellent written and verbal communication skills
  • Proficiency in Google Workspace or Microsoft Office
  • Problem-solving mindset – able to work independently and take initiative
  • High level of professionalism and confidentiality when handling sensitive school records
  • Ability to work collaboratively with teachers, staff, and parents
  • Experience in a Montessori school or understanding of Montessori principles (preferred but not required)
  • Knowledge of school management software(e.g., Transparent Classroom, TUIO.)
  • Current Standard First Aid, CPR, and AED
  • Current Vulnerable Sector Police Record Check
